Payment Information

Payment for your treatment is taken on the day of your appointment by cash or card.

​

When booking online, we will ask for your card details to secure your appointment. No payment is taken at the time of booking. Your card details are securely encrypted within our booking system and cannot be viewed once entered.

Your card will only be charged if you cancel your appointment with less than 24 hours' notice or fail to attend your appointment. In these circumstances, a 50% cancellation fee will be charged in accordance with our cancellation policy below.

Unfortunately, if we are unable to take a card capture when booking, we will be unable to confirm your appointment.

If a cancellation fee cannot be collected from the card provided, an invoice with a secure payment link will be sent to you. We kindly ask that all invoices are settled within 24 hours. If cancellation fees remain unpaid, any future appointments may be cancelled until the outstanding balance has been cleared. Notification will be provided should this become necessary.

Receipts are provided for all appointments and include the information required should you wish to claim through your private health insurance provider.

Cancellation Policy

We kindly ask that you provide at least 24 hours' notice if you need to cancel or rearrange your appointment.

Appointments cancelled with less than 24 hours' notice, or appointments where the patient does not attend (non-attendance), will incur a 50% cancellation fee.

To cancel your appointment, please telephone the clinic on 01384 386919. You may also contact us by email. Our emails are checked regularly, and we always send confirmation that your appointment has been cancelled. If you do not receive a reply, please contact us by telephone to ensure your request has been received.

We operate a cancellation list whenever possible, so providing as much notice as you can allows us the opportunity to offer your appointment to another patient.

​

Appointment reminders are sent by text message and email approximately 48 hours before your appointment, giving you sufficient time to contact us should you need to make any changes.

​

Our reception team is available Monday to Friday, 9:00 am – 5:00 pm. We do operate a voicemail service outside these hours which is also time stamped.  

​

Our cancellation policy is applied consistently to all patients. As a small clinic, late cancellations and missed appointments mean valuable treatment time cannot usually be offered to someone else at short notice. Thank you for your understanding and cooperation, which helps us continue providing appointments as efficiently and fairly as possible.

Gift Vouchers

All gift vouchers are valid for 6 months from the date of issue. The expiry date is shown on the reverse of your voucher.

Your voucher is linked to the account created at the time of purchase. When booking your appointment, you can do so by telephone or through our online booking system.

If you are a new patient, our online booking system will still require a card capture to secure your appointment. No payment is taken at the time of booking. Please refer to our Payment Information above for further details.

If you cancel your appointment with less than 24 hours' notice or fail to attend, any applicable cancellation fee will first be deducted from the remaining balance of your gift voucher. If there are insufficient funds remaining on the voucher, the outstanding balance will then be charged to the card held securely on your account or invoiced in accordance with our cancellation policy.

As a courtesy, we will endeavour to contact you approximately 6 weeks before your voucher expires if it has not yet been redeemed. However, it remains the voucher holder's responsibility to ensure the voucher is used before its expiry date.

To avoid disappointment, we strongly recommend booking your appointment as early as possible, particularly if you require evening or specific appointment times, as availability can be limited.
